APN Assembly 2024: Collective Freedom from Collective Struggle

Participants Information Pack

Thank you for attending the 2024 APN Assembly!
We are excited to welcome you to the 2024 APN Assembly which will run from the 4th – 8th of November at the Elephant Hills Resort in Victoria Falls, Zimbabwe under the theme: Collective Freedom from Collective Struggle. Please view the full program to see all the exciting sessions we have for you. In addition, read to understand the community guidelines and safe space policy .
The information below is to guide you with logistical arrangements for the Assembly. Please read carefully and adhere!

Travel and Entry into Zimbabwe

The designated point of entry and departure is the Victoria Falls International Airport. You are reminded to have the following items with you before you leave for airport:

  • Return air ticket
  • Valid passport
  • Valid Zimbabwe entry visa, if your country is eligible
  • Valid yellow fever vaccination card
  • Invitation letter issued by the APN

Immigration in Victoria Falls International Airport

You will be asked to complete immigration form. Remember the important information is:

  • Purpose for Visit is to attend 2024 APN Assembly
  • Name of the Hotel of your Accommodation. All participants shall include names of the hotels they have booked in.
  • Number of days is from 4 th – 8 th November
  • All participants staying (including all sponsored by APN) at the “Elephant Hills Resort” Parkway Drive, PO Box 300, Victoria Falls. Contact: +263 8328 44793/99.
  • For other hotels, please ensure you have the correct address for your hotel. In case this is not easily accessible to you, feel free to use the address for Elephant Hills Resort.
  • Note: The Hotel Confirmation Letter is not required by the Immigration Authority

Airport Transfers and Desk

APN organized airport transfers will be available for participants arriving on Monday, 4th of November and departing on the Friday, 8th and or Saturday, 9th of November. Transfers will only be provided to and from the listed hotels on the Assembly website. Please look out for a desk and or a signboard clearly marked “2024 APN Assembly” after clearing customs, you will be supported.

For all self-organized airport transfers, particularly for all participants who will be arriving on other dates, we kindly ask you to organize transfers at their own cost. The average cost of a taxi is $25- $30 per person, and if you negotiate the price for a group shared it might be $20 for each person.

The distance from the airport to most hotels including the Elephant Hills Resort is about 23.7 kilometers and takes approximately 25 – 30 minutes.

Accommodation

The hotel accommodations (ref: Assembly Website), includes the negotiated rates per person, with a provision for bed and breakfast. APN is not liable for any extra services which might include room service.

Hotel Shuttles

Most of the listed hotels on the Assembly Website have a provision for shuttle services to the Elephant Hills and the other areas within Victoria Falls. Please ensure you have communicated and arranged with your respective hotels.

Registration

Registration of all participants will take place on the 4th of November in the main foyer of the Elephant Hills Hotel from 10:00am – 18:00pm. Kindly ensure you have registered before attending the welcome reception. There will be two registration desks: one for pre-registered participants and one for on-site cash payments.

  • If you have already completed payment, you can pick up your delegate pack.
  • If you pre-registered but opted to pay at the event, you will be assisted at the Cash Registration Desk.

Participants Name Tags

You are reminded that your name tag serves as your identity and an entry pass to the Assembly conference and organized events. Please ensure to have it with you all the time.

Assembly Venue

The APN Assembly will be held at the Elephant Hills Resort. Specific conference venue and rooms for the community dialogue sessions are indicated in the programme.

Meals

You will be provided with complimentary mid-morning tea/coffee, lunch and mid-afternoon tea/coffee break at the Elephant Hills Resort for the duration of the Assembly, from 5 th to 7 th November. There will also be meals offered at the welcome reception on Monday, the 4 th , group dinner on Tuesday, the 5 th at A’Zambezi River Lodge, and the gala dinner at the Boma on Thursday, the 7 th of November 2024. The dress code for the Gala dinner will be traditional/national attire.

Socket and Power Plugs

Please take note that hotels in Victoria Falls use the “type-D” and “type-G” sockets and power plugs, as provided in the illustration.

Internet Connection

All hotels will provide complementary wireless internet connection.

Weather

November is a hot and rainy season. It gets a little cold if it rains. You may wish to bring summer clothes and light jackets or jerseys.

Currency

Zimbabwe's currency of trade is the US Dollars and card transactions are widely accepted. We also advise participants to carry a few dollars in cash for local transactions and purchases. Additionally, currency exchange services (Bureau de Change) are available at the airport and in the city center.

Health

There would be a nursing room and a health care provider at the Elephant Hills Hotel, in case of any health need. If there are any medical issues, we should be aware of (such as allergies) please make us aware of this by bringing the relevant information and medical insurance details to the APN Assembly registration desk and hand it in to a member of APN staff.

The Centre for Disease Control and Prevention recommends that all travelers to Zimbabwe take malaria prophylaxis medicines, to prevent malaria. Visit a doctor or pharmacist in your country to understand the type of prophylactic regimen you may need. It is wise to cover exposed skin and use mosquito repellent during your stay.

Fitness

Elephant Hills Resort provides a gym and a swimming pool as part of the accommodation. Additionally, the hotel also boasts of an 18-hole championship golf course. For more details and costs, you are advised to contact your hotel.

Security and Safety

Victoria Falls is in the national parks and animals can roam around anywhere. It is not advisable to walk on foot anytime when it gets dark. For your safety, all hotels have put in place health and safety measures which will be communicated fully at the hotel staff, on your arrival. Kindly respect them to ensure a safe and successful stay.

Other things to do in Victoria Falls (Tour, Field Visits and Markets)

Do not miss a visit to mighty Victoria Falls (Mosi-oa-Tunya), one of the seven wonders of the world. Please be informed that to gain access one need to present a passport, and to pay the entrance fees as follows: Zimbabweans – $7; SADC nationals $30; and all other nationalities $50. The rainforest opens at 6am and closes at 6pm every day.
